Hire Terms & Conditions

  • The number of passengers needs to be accurately booked so that we can ensure that we can safely, legally and comfortably transport your group by utilising the correct vehicle from our fleet. The number of passengers may change on or before the date of function but will be at the sole discretion of management.
  • If discounts are agreed to for small groups, any increase to passenger numbers may result in increased hire charges. If in doubt, please ask in advance to avoid embarrassment.
  • Wheelchair Accessible Bus capacity is 30 Passengers plus 1 wheelchair passenger. (BUS WHEELCHAIR ACCESSIBILITY IS SUBJECT TO SUITABLE SITE TO LOAD AND UNLOAD WHEELCHAIR SAFELY.)
  • Non-Wheelchair Accessible Bus capacity is 32, 51 or 71 Passengers. Party Bus Central Coast reserves the right to allocate individual buses to functions as per business requirements. We will endeavour to utilise a bus from our fleet (or sub-contractor fleet) that is most suitable for your group and travel plans. There will be occasions when we use buses that do not have signwriting affixed. Please advise at time of booking if you require a specific vehicle so that it can be booked into our scheduling system.
  • In the event of a breakdown or other incident, we may substitute a bus that does not have sound system fitted.
  • All bookings must have a deposit paid using a valid credit card at the time of booking. We do not take a “security deposit” against any damage or excess cleaning to the bus. The credit card used for the deposit will be used as security in the event that it is required.
  • The “Hirer” must be the person named on the credit card. This person must sign the authorisation on the reverse side of this form.
  • Deposit is non-refundable. Any changes to booking date are subject to the following conditions: (Less than 8 Weeks from Function Date – No refund payable, or More than 8 weeks from Function Date – Alternate date may be booked subject to availability.)
  • The hire charge balance is due and payable prior to departure on the day of travel. In the case of Winery tours to the Hunter Valley, the confirmed number of passengers is required 7 days prior to the date of travel. This number of passengers must be paid for on the date of travel, even if less passengers are present on the day of travel. Additional passengers, above the confirmed number, may be accepted, subject to availability at booked venues.
  • Cancellation Policy: More than 14 Days’ notice from function date: Loss of deposit only. Less than 14 days’ notice from function date: Loss of deposit plus $400, or hire charge if total hire charge is less than $400, to be charged to nominated credit card.
  • Credit Card Payments are subject to Surcharges by the EFTPOS provider.
  • Unfortunately, events occur that cause delays and are not possible for our staff to control. In the event of an issue with our bus being late to the passenger pick up, the driver will contact the hirer at the earliest opportunity to advise of the delay, the reason for the delay, and the expected arrival time. All reasonable steps will be taken by Party Bus Central Coast to allow for time to be “made-up” by mutual agreement between the hirer and our staff. No financial compensation will be payable by Party Bus Central Coast for late running.
  • No responsibility will be taken by Party Bus Central Coast for any items left on buses between trips or legs of a journey. Where bookings are taken as individual multiple transfer legs, there is no presumption of items being able to be left on the bus. Arrangements may be able to be made with the driver at the time, but may be subject to availability and scheduling of the bus. The Driver will not be held responsible for any items missing or damaged.
  • Booking times must be adhered to by all passengers. A “reasonable grace period” will be given by our staff allowing for misadventure by passengers. Waiting time may be charged to the nominated credit card in the event of driver overtime being incurred as a result of passengers not being at the nominated pick-up point at the booked time. This is important for Party Bus Central Coast staff in order to ensure that drivers are not exceeding maximum legal driving hours. All bookings are accepted at the nominated times to ensure driver working hours are not exceeded.
  • In the event of the “Hirer” wishing to extend the hire time period as much notice as possible must be given to the driver. The driver will consult with the Operator and must receive authorisation to extend the hire (subject to a number of conditions such as bus scheduling, legal driving hours, passenger behaviour and intoxication). The driver will advise the “Hirer” if extended hire is available and the costs associated with extending the hire. Prior to the commencement of the hire extension, the “Hirer” will pay the driver the agreed costs of such extension, or the listed credit card will be charged for the hire prior to the extension taking place.
  • The “Hirer” (person named on the reverse side of this page) must be over Eighteen (18) years of age and is responsible for any damage occasioned to the bus caused by the passengers. This person is not required to travel on the bus at the time of the function.
  • The “Hirer” is also responsible for the cleanliness of the bus. It is expected that a reasonable amount of mess will be made (spilled drinks etc). Garbage bins are provided on all busses. Sickness bags are available from the driver upon request. In the event of a passenger soiling the bus with any bodily fluids (vomit, blood, urine etc) a cleaning fee of up to $150 (plus Credit Card Provider Surcharge) will be charged to the nominated credit card on the reverse side. A cleaning fee may also be charged for “excessive” mess being made on board the bus.
  • The “Hirer” and guests on board will be authorised by the Operator to consume food and drinks on board the bus. This authorisation will remain at the discretion of the driver on the day depending on, but not limited to, passenger behaviour, intoxication, cleanliness of the bus.
  • We have a policy of “NO GLASS” on board the bus. Cans and plastic cups / bottles only.
